Don’t Let Documents Get You Down

Paperwork isn’t fun, but not completing necessary forms on time isn’t good for your business either.

ALEXANDRIA, Va.—Many businesses view paperwork as a necessary evil, but there are solutions to help keep you on track without the headaches paperwork can bring. On this week’s episode of Convenience Matters, “Keeping Compliant: Solving Permit Problems,” Roy Strasburger, president of Strasglobal; Eva Strasburger, CEO of Compliance Safe; and Joe Green, director of operations for Energy North, discuss how to manage and store all the paperwork necessary to keep your business running smoothly.

Strasglobal manages retail locations for companies, which involves keeping up with the paperwork. “It got to be a real headache trying to keep up with the permits, the licenses, the renewal dates, which offices they had to go to,” Roy Strasburger said. “We were trying to do [it] through a combination of using spreadsheets, Post-it Notes, tickler files. Occasionally, we would drop the ball and have a permit expire on us.”

Roy Strasburger soon realized there had to be a better way than using spreadsheets. “There was no way to do any kind of alert and alert escalation, letting us know when permits were going to be due. We found different groups in different parts of the country handled their compliance documents in different ways—we needed a uniform way of doing all of this in one, easy way in a centralized location.”

“Roy came up with an interactive, [cloud-based] dashboard where you could see all the documents uploaded onto it, when they expire, and an alarm at the top with notifications, along with email notifications sent out 60 days ahead, 30 days ahead and seven days ahead,” Eva Strasburger said. “Overnight, it reduced the amount of work for our compliance officer from hours each week to less than 10 minutes each week.”
