 Senior Accountant

 

​The National Association of Convenience Stores (NACS) advances the role of convenience stores as a positive economic, social and philanthropic contributor to the communities they serve. NACS is seeking a Senior Accountant to support its finance function and assist with the day-to-day accounting function and month end close and other duties as assigned, working closely with the Controller and Accounting Manager. 

The Senior Accountant is responsible for the accounts receivable and cash receipts functions, monthly bank reconciliations, assisting in the monthly close, and preparing recurring and ad-hoc journal entries for review and posting by the Accounting Manager. The Senior Accountant prepares audit schedules and materials for the annual financial statement and 990, and works to continuously improve financial processes and systems.  He/she will provide hands-on support to management by researching and analyzing accounts and assisting with monthly financial statements for NACS and its affiliates as well as assisting with accounting entries and reports, full cycle accounting, and other duties as assigned. This position is exempt, reports to the Controller and requires full-time Alexandria, VA office presence.

Responsibilities
As key member of the accounting team, duties will include, but are not limited to:

  • Prepare annual audit schedules of internal controls and financial details
  • Answers financial questions from external and internal customers by researching and interpreting data
  • Understand and monitor compliance with accounting policy and internal controls across all affiliates
  • Monthly bank and account reconciliations
  • Perform reconciliations of significant account balances including A/R, A/P, fixed assets, prepaid expenses, and current liabilities and preparation of adjustments as needed
  • Prepare and record General Ledger entries by maintaining records and files
  • Monitor account balances and perform activity analyses
  • Preparation of tax related schedules and forms
  • Reconcile and record journal entries from 3rd party vendors
  • Review and approve cash receipts/invoice batches
  • Follow up with overdue invoices and collect payments 

Requirements
The ideal candidate must be/possess:

  • A bachelor’s degree in Accounting and 2 - 4 years of experience directly related to the duties and responsibilities specified.
  • Experience in multiple facets of accounting with the ability to learn and act quickly and competently.
  • The ability to work effectively with staff members at all levels.
  • The ability to meet deadlines and deal with the pressures associated with those deadlines.
  • A creative problem solver, detail-oriented, self-directed, and able to handle multiple projects/tasks.
  • Strong analytical and follow-up skills.
  • Flexibility and desire to be part of a growing, dynamic organization.
  • Excellent written and verbal communication skills.
  • Proficiency in Excel and Office Products.
  • A working knowledge of Dynamics GP or similar accounting software.   

Desirable

  • Active CPA or M.S. in Accounting
  • Public accounting experience
  • Strong general business background and experience in a membership organization 
  • Experience in rental property management
  • Experience with web-based customer relationship databases (ex. netFORUM or Avectra)

 Special Events Manager

 

PURPOSE OF POSITION
To assist with logistical planning and preparation of NACS meetings and conventions as directed, including:

  1. Plans, coordinates and implements all aspects of assigned Meetings, special events, and conferences throughout it’s entire life cycle.
  2. Negotiates and contracts various venues, vendors and services as they relate to NACS events
  3. Organizes all event details both internal and external and communicates to all stakeholders
  4. Delivers outstanding customer service, both external and internal
  5. Communicates with our most engaged membership and VIPs regarding attending events, responding to member inquiries and fulfilling requests
  6. Provides onsite support for meetings and events both domestic and international

ESSENTIAL DUTIES OF POSITION
PRIMARY FUNCTION 1:  Meeting planning (80%)

  • Lead planner on approximately 5-7 NACS Conferences annually. Of which may include, Annual Strategy Conference, CEO Summit, Fuel Institute Annual Meeting, New Board Orientation/Executive Committee Meeting and beyond.
  • Venue selection to include: destination/venue research, site selection, contract negotiations for any given event.
  • Coordinate all meeting logistics for assigned events – management of hotel/travel/registration inquiries, event confirmations, event design, graphic designs, AV requirements and stage production, transportation, badge/tent card production, shipping (domestic and international)
  • Coordinate registration processes with IT, Data team and Marketing for each project
  • Ability to work independently and cross functionally depending on the project
  • Coordinate or assist in budget development and management for each assigned event and/or conference.
  • Maintain communication with NACS Board of Directors, Executive Committee, and Supplier Board as it relates to calendar appointments, transportation, and NACS day-to-day communications
  • Manage equipment orders, supply orders and shipping procedures for Meetings
  • Work cross functionally with internal departments including, but not limited to, Marketing, Educational Content, Web design, IT and Data
  • Ability to manage multiple vendors per event to include facilities/venues, General Contractor, Stage Production company and Destination Management Company
  • Ability to manage multiple current projects at once, while forward thinking and delivering in a timely and organized manner
  • Manage post-event procedures including invoice reconciliation, final budget reports and post event data reporting and survey distribution
  • NACS Show: primary responsibilities may include Executive Committee transportation, Supplier Board dinner, and NACS liaison to the Board dinner. Other responsibilities as needed
  • Maintaining the highest level of customer service, always, and executing events at the highest professional level
  • Thinking creatively to design over all event experiences from décor, entertainment, logistical flow, room set ups, incorporating emerging industry trends and expanding on networking opportunities
  • In depth understanding of food and beverage and intimate knowledge working with BEOs
  • Provide onsite support at other NACS meetings as needed

PRIMARY FUNCTION 2:  Provide exemplary communication/service to internal and external contacts (20%)

  • Act as liaison for internal and external communications regarding meeting details with NACS staff, members and vendors, including support and maintenance of information requests.
  • Familiarizing yourself with NACS VIPs, Hunter Club contacts, EC and Board members and their respective assistants and managing the communications regarding events and over all NACS needs

QUALIFICATIONS

  • Strong customer service, organizational and hospitality skills
  • Proficiency in MS Office computer applications, including MS Word, Excel and Outlook are required
  • Understanding of customer database applications (CRM) (netForum) a plus
  • Understanding of basic budget and accounting processes
  • Ability to travel heavily throughout the year (approx. 40%) and schedule flexibility, both domestic and international

Education Required: Bachelor degree desired

Experience Required:  Minimum 4-6 years meeting planning experience in an office environment is preferred. Hospitality and event management background a plus. Association experience preferred.

 Research Coordinator

 

NACS, the Association for Convenience and Fuel Retailing, has an immediate opening for a Research Coordinator. Based in Alexandria, Virginia, the Research Coordinator will schedule and coordinate NACS client engagements and have administrative responsibilities for a wide range of research projects including designing, deploying and analyzing surveys. The Research Coordinator must be able to work independently as well as in a team environment.

 Editor in Chief

 

NACS, the global association that advances convenience and fuel retailing, is looking for an experienced Editor in Chief to lead its award-winning NACS Magazine and digital platforms as a key player of the NACS Media Group. This position has a strong voice in guiding content for all NACS media and member communication platforms. This high-performing, highly productive individual will be a public face and advocate for NACS among its membership.

Key Responsibilities

Editorial

  • Lead content creation for NACS Magazine, to include monthly article assignments to freelance writers, substantive editing of articles, and quality control.
  • Responsible for attracting, developing and retaining freelance editorial talent and sustaining good relationships with freelancers.
  • Grow digital platforms (NACSMagazine.com and NACS Magazine App) with new multimedia content.
  • Maintain and grow sponsored/branded content offers.
  • Write articles for the magazine as needed.
  • Collaborate with editorial and IT teams to direct and keep current the editorial content for the association’s website, Convenience.org.
  • Participate in developing social media strategy and postings for NACS platforms (Instagram, Facebook, Instagram and LinkedIn).
  • Lead regular editorial meetings with editorial staff and other departments.
  • Collaborate with editorial team and design partner to develop art concepts for cover and feature articles.

Strategic

 Managing Editor

 

The Managing Editor supervises the day-to-day operations of the award-winning NACS Magazine, the monthly magazine of NACS, the association representing the convenience and fuels retailing industry. The core function of the Managing Editor is to oversee production schedules and editorial calendars for the print publication as well as its digital assets (NACSMagazine.com and the NACS Magazine App), event directories and social media channels.

The Managing Editor is part of a dynamic content team that develops and executes org-wide content strategy by working closely with marketing, education, public relations and government relations departments.

Project Management

  • Work with Media team and design agency to control schedules and enforce deadlines for NACS Magazine media platforms with freelance authors and staff.
  • Oversee proofreading procedures and edit copy when necessary.
  • Serve as main point of contact for outside design agency: post proofs, share feedback on design concepts.
  • Work with production manager on creation of monthly magazine layout.
  • Manage production and schedule for NACSMagazine.com and NACS Magazine App.
  • Manage and work with internal teams to develop 8-10 event directories each year and an annual State of the Industry Report.

Writing/Content

  • Collaborate with Media team to determine issue content and topics.
  • Collaborate with Media and design teams to select artwork, concepts and photography/illustrations that support the editorial content and layout.
  • Proofreading as needed.
  • Provide editorial content for the 2-3 regularly running departments of NACS Magazine.
  • Quality control/review for NACSMagazine.com and NACS Magazine App.
  • Attend NACS and industry events with the goal of contributing to editorial coverage and developing relationships with members.
  • Contribute to content on NACS social media platforms, including Facebook, Instagram, LinkedIn and Twitter.

Business Operations

  • Manage freelance writer budget, tracking fees and sending and collecting contracts.
  • Create and/or refine foundational elements for NACS Media: building and maintaining editorial procedures and guidelines for staff and freelancers; serving as internal copyright rules expert, developing and maintaining list of subject matter experts for content outreach.
  • Assist in developing and maintaining editorial metrics for media platforms.

Skills Required

 Marketing Manager

 

NACS is seeking a Marketing Manager to assist our five-person marketing team in developing and implementing integrated marketing campaigns with a clearly defined marketing strategy across a portfolio of high-profile educational partnership programs and international events. Marketing efforts will assist NACS in achieving its core objectives: drive NACS membership, event attendance, product sales, and overall brand awareness and loyalty.

Duties and Responsibilities

  • Responsible for day-to-day marketing efforts, as well as the development and ongoing evolution of marketing vision and strategy for a high-value, global portfolio of events, products, and services within our “International” and “Education” verticals.
  • Position and enhance the overall brand value and product positioning of NACS.
  • Develop, implement and manage integrated marketing plans and tactics across a wide range of channels, including landing pages, content marketing, affiliate relationships, social, PR, print, email and digital. This includes both coordination of current, ongoing campaigns, as well as envisioning new campaigns consistent with our bull’s-eye target and our organization’s key differentiators and value propositions.
  • Effectively execute marketing programs through team collaboration, tracking, competitive research and pushing the envelope to regularly test new and emerging channels.
  • Evaluate results against benchmarks and goals to measure the effectiveness of international marketing programs and implement improvements as required.
  • Collaborate with a wide variety of stakeholders—including membership, web / IT / data, events, publishing, and external agencies—to achieve internal business unit goals and objectives while also delivering the tactical assets to support these plans.
  • Responsible for managing a high volume of projects and prioritizing activities to effectively deliver marketing plans on time and budget.
  • Ensure all deliverables adhere to NACS brand guidelines and enforce event branding where possible across the team.
  • Measure and communicate status / results of activities; must have strong communication and organization skills.
  • Possess a keen interest in professional development, learning and growth; expand functional competencies by identifying opportunities for improvement, attending educational programs, reviewing industry publications, etc.

Requirements and Primary Selection Criteria

  • 3-6 years of demonstrated marketing experience
  • International event marketing experience a plus 
  • 2+ years digital marketing experience and social media expertise
  • Master’s degree in Marketing or Integrated Marketing and Communications (pursuing or attained) preferred
  • Excellent communication and writing skills
  • Strong understanding of the principles of marketing, communications and measurement
  • Sound project management skills and strong attention to detail
  • Solid understanding of email/marketing automation platforms such as Real Magnet, Mail Chimp or similar, in order to execute various types of email campaigns, including adjusting layout, copy, images, calls-to-action, and other content as needed.
